Overview

This is a Prior Information Notice (PIN) and not a call for competition; a call to competition may be placed within the next 12 months. The British-Irish Parliamentary Assembly (BIPA) is a forum to promote co-operation between senior political representatives in Britain and Ireland. Its members engage in a wide range of non legislative parliamentary activities, through plenary meetings and ongoing Committee work. Bi-annual Plenary meetings alternate between Ireland and the UK. The Contracting Authority intends to source service providers for the provision of suitable venues to host a BIPA Plenary Conference in the greater Dublin area. The venues must be able to provide accommodation, conference facilities, meeting rooms, and catering during the conference for approximately 120 people. Venues must be within easy reach of international airports. Tenderers must demonstrate the ability to work effectively with outside contractors in relation to the technical equipment required for the Plenary conferences. They must also exercise discretion regarding hotel guests and collaborate appropriately with An Garda Síochána in relation to any security recommendations they may have. Furthermore, tenderers must adhere to strict confidentiality obligations, ensuring that any sensitive information encountered in the course of their duties is handled with the utmost care and not disclosed to unauthorised parties. Tenderers must also include specific details of cancellation policy in relation to hotel rooms, conference venue and catering numbers. Venue Hire Requirements: The Contracting Authority aim to have the Plenary Conference on: • Sunday 7 March to Tuesday 9 March 2027 • Approximately 120 people
